POSITION SUMMARY

The Program Coordinator provides administrative and operational support across CIGI's research and program functions. Working closely with Research Directors, Program Managers, the Director of Programs, and external partners, this role coordinates contracts, peer review, travel, scheduling, events, and key operational processes while serving as a resource for core systems and tools. The successful candidate is highly organized, detail-oriented, and committed to delivering exceptional administrative support in a collaborative, fast-paced environment.

KEY DUTIES AND RESPONSIBILITIES

  • Support the peer review process by liaising with authors and reviewers
  • Manage banking and vendor information for the Programs team.
  • Provide scheduling and administrative support to the Director of Programs and Research Directors, including managing travel arrangements, authorizations, and expense reimbursements.
  • Assist Program Managers with coordination, tracking, and reporting during peak periods
  • Support program-specific administrative functions, including admissions coordination for the Digital Policy Hub and arrival of Research guests to campus.
  • Coordinate invitations and communications for large-scale events using CRM and event management platforms
  • Maintain program documentation and update impact tracking tools.
  • Act as a point of contact for Monday.com, maintaining records and delivering training to staff and Program Managers on Monday.com, DocuSign, and financial processes.
  • Support the full contract lifecycle for CIGI Opinions and related research outputs via DocuSign;
  • Other duties as assigned.

KNOWLEDGE, SKILLS, AND ABILITIES

  • College diploma in business administration, office administration, project management, or a related field.
  • 3–5 years of experience in an administrative, program coordination, or operations role.
  • Experience supporting leaders with scheduling, travel coordination, and correspondence.
  • Familiarity with contract administration and document management processes.
  • Proficiency in Microsoft Office Suite and CRM or project management tools; Monday.com experience is an asset.
  • Strong attention to detail, excellent organizational skills, and the ability to manage competing priorities.
  • Discretion when handling sensitive and confidential information.
  • Experience in a research, academic, or non-profit setting is an asset.

  • Salary range: $60,000 - $70,000

This position is based at our CIGI Campus in Waterloo, Ontario, where employees have a hybrid work environment which requires them to be in the office a minimum of 2 days per week. This job posting is for a new position.

This salary range listed above reflects the starting compensation for new hires in a full-time capacity. Final compensation will be determined based on experience, education, and skills. In exceptional circumstances, an offer above the stated range may be considered.
